Reservation Rules

Rules for Condo Reservations and Usage,Updated, November, 2011

 1 – A reservation calendar for both condos (E-3 in the Sierra Madre Complex at Club Santiago and Sonora 281 at Vida del Mar) can be found at our website www.Mexicolo.org. This is a read only calendar.

2 – Any assessments or other amounts payable to the partnership and unpaid, must be paid in full in order to make a reservation.

3 – A reservation may be made one year in advance of the first day in which the requested reservation is to begin.  YOU MUST NOTIFY THE RESERVATIONS SECRETARY BY E-MAIL OR REGULAR MAIL.  IF BY REGULAR MAIL, YOU MAY PHONE IN Y OUR REQUEST, BUT IT WILL NOT BE HONORED UNTIL THE MAIL REQUEST YOU SENT HAS THE SAME POSTAL DATE AS YOUR PHONE CALL.

5 – Partners are entitled to ten (10) days per full partner ownership unit during the high demand season of Thanksgiving week through the week of Easter, or April 15, whichever is later.  Partners having half unit and are entitled to five (5) days.

6 – A partner may reserve 10 days per partnership unit (5 for a half unit).  A   partner may request additional days by using available days from another partner, in which case  the Reservations Chairman (Luke Underwood) must receive written notice from the donating partner approving the transfer.  A partner may request, and shall be given, extra days, if available, no sooner than 60 days prior to the first day of his/her approved  reservation,   If five or fewer days are available between two approved reservations, they may be taken by either of the abutting reservations on a first come/first served request.  Such extra days will not require borrowing from another partner.

7 – A reservation made with the Reservations Secretary is not firm until the partnership approved usage fee of $15 per day has been paid through a check payable to Mexicolo Associates, Ltd and been received by Kevin Koernig, Treasurer, at 5668 S. Louthan Street, Littleton Co 80120. Usage fees not received by the Treasurer within 14 days may result in the reservation being removed from the reservation calendar. Refund of the usage fee will not be made for cancellations made within 90 days of the reservation date, unless approved by the General Partner, Mexicolo, Inc.

8 – A partner may make reservations for double the amount of time set forth above for the period from the end of  Easter week (April 15 if that is later) to the beginning of Thanksgiving week, without losing high demand season rights. Additional days may be taken if no requests are made within 90 days of planned usage. The $15 per day usage fee applies to all such days used.

9 – A partner may allow a guest to use their allotted days during the high season. The $15 per day usage fee will apply, as will compliance with all of the requirements set forth herein.

10 – Rental of the  units by a partner is not permitted..

11 – Anyone using a condo must pay for maid service upon departure. Arrangements for such services are to be made with Lorena Mejia for E-3 and the front desk personnel of Vida del Mar for Sonora 281, both of whom set the rates for such service. Daily or periodic maid service is available. Departure service is mandatory, with payment to be made prior to departure to Lorena or Vida’s front desk.

12 – Partners and guests should leave the condo in as good – or better – condition than when they arrived. The fresh water container should never be left close to empty when departing – Water may be purchased through Lorena Mejia or other staff members at Club Santiago.  . Water may be purchased at Vida by contacting the front desk. Minor repairs should be made and request for reimbursement, if desired, should be sent to Kevin Koernig. Significant repairs requiring immediate action should be brought to the attention of Lorena Mejia at E-3 or the front desk of Vida. Desired upgrades costing more than $100 US should be communicated to Kevin Koernig or Harvey Sender for approval by the General Partner.

13 – Approximately 15 days prior to the reservation date, Luke will send a packet containing information about the condo you are using, the combination to the owner’s closet, a letter of introduction to the Manager of Vida (if applicable- none is required for E-3) and to the Manager of the Beach Club, which is located a few blocks west of  E-3 on the  ocean.  Information on how to contact Lorena will be included for those staying at E-3, along with information on how you can be contacted from the US while staying at either unit..

Also included will be keys to E-3 if applicable – the Vida front desk will provide keys. The E-3 keys must be returned to Luke or a $5 lost key fee will be charged.

A usage questionnaire will also be in the packet which should be returned to Luke so that the partnership can be aware of any problems or other information useful to future users of the condos.
